BOARD OF TRUSTEES
Meeting Minutes:  May 20, 2008

The East Longmeadow Board of Library Trustees held its regular monthly meeting on Tuesday, May 20, 2008 at the East Longmeadow Public Library, 60 Center Square, East Longmeadow, MA.  Trustees present were: Susan French, Gregory Thompson, Virginia Robbins, and Timothy Seeley. Amie Singh, Trustee, joined the meeting at 6:42 pm. Susan Peterson, Library Director was also present.

Chairperson, Susan French called meeting to order at 6:10 PM.
 
Minutes: Upon motion duly made by Greg, and being seconded, it was unanimously voted to accept the monthly minutes, with noted corrections, of April 16, 2008.   

Guests Present: No guests were present.

Director’s Reports: 
            (A) Narrative

  • Building--Susan Peterson, Library Director, noted that the outside sprinklers have been turned on for the season. There were no other building concerns to report on at the present time.

    Library Technology-- The library has purchased 8 additional Dell PC’s as part of its planned upgrade of all library-owned computers on the C/WMars network.  A total of 15 computers have been purchased and all but four of these have been installed and networked.  The remaining four will be installed in the next few weeks.
  • Public Relations/Programming:  The Friends of the Library sponsored a Watercolor Workshop featuring local artist Susan Pecora on Saturday, May 3rd.  More than 35 people attended this popular program.  Ms. Pecora, in appreciation of this opportunity, gave the Friends a watercolor painting of our library she had done especially for this occasion.   

On Saturday, May 10th, the Children’s area hosted a “Dads & Donuts” event with refreshments and stories for all who attended.  The staff in the Children’s area is gearing up for this year’s Summer Reading Program “Wild Reads”.  This year’s program will begin on June 16th and continue until August 1st. Many exciting  programs and events are being planned each week.

The teen “Battle of the PlayStation Rock Bands” held its final “Battle” on Saturday, May 17th. Seven bands competed for prizes and all who participated had a great time.
          The next Adult Book Discussion Group will meet on Thursday evening, June 26th at a local restaurant.

(B) Financial Report:

  • Susan mentioned that the actual donation given to the children’s department for their Summer Reading Program by the Meadows Lodge of Free and Accepted Masons will be $1500, not $2000 as was previously reported.

After reviewing the Monthly Report - Balances in Other Accounts which includes the operating budget and balances for the fiscal year, Ginny made a motion to accept the   Director’s reports, and being seconded, it was unanimously voted to accept.

Director’s Recommendations and/or Information:

  • Susan has requested that the library again close early on those days that the Jaycees have their carnival across the street.  This year’s carnival will take place from June 30th – July 3rd, and library parking is always an issue after 4 pm.  In the past the library has closed at 4 pm on those evenings the carnival runs because of lack of parking for library patrons.  A motion was made by Greg to close the library on Tuesday through Thursday, July 1st through July 3rd at 4 pm, and, being seconded by Tim Seeley, it was voted unanimously to accept.

  New Business: Library Positions—request for re-grading of positions:

  • Chairperson, Susan French, distributed a memo dated May 15th from the Board of Selectmen which addresses this request from the Library Trustees.  This request will be “an ongoing agenda item for the Board of Selectmen meetings”, and will be addressed in the future by each Board.

Old Business:

A. Entrance Concrete sidewalks cleaning – Tabled.
B. Library handbook – Tabled.

Other Business:   None

Next meeting regular monthly meeting of the East Longmeadow Board of Library Trustees will be held on Tuesday, June 17, 2008 at 6 pm in the Conference Room of the East Longmeadow Public Library.

There being no additional business to come before this Board, a motion was made by Greg to adjourn at 7:15 pm
